Why can't we just a guest?

I know the system wants to charge for every member but why can't we just add a guest as they are not members?

@Cory Bender there are such things as guests in Trello. If you only share at the board level, this user is considered a guest. This means they only see the boards that have been shared with them. This would make sense if you're working with an external collaborator, like a contractor, client, or freelancer. For your employees, it would make sense to add them as a workspace member which gives them access to all boards in the workspace.

Some terminology around user types: 

Free guest: someone who only has access to one board in your workspace.

Billable guest: someone who has access to more than one board (they are charged the same as a regular workspace member).

Workspace member: someone added at the workspace level and has access to all boards within that workspace. This is a billable user.

Collaborator: an umbrella term for the above user types. 


For the billable guest, you will be charged depending on your plan; standard=$5, premium=$10. If you're on the free plan, well, then you won't be charged anything but you're limited to a total of 10 collaborators in your workspace.

I have outside help (multiple people) that just need to view one board. They are just viewing and commenting on cards for approvals, etc. I don’t want to pay for each person I share with. I understand the member part and thats me. . . I just signed up for premium but wanted to turn certain people from members to guests. . . other than deleting them and sharing again? please advise.

Estou em uma situação parecida. Porém meus colaboradores aqbrem cards me solicitando coisas, mas quem gerencia sou eu. Não tem como eles serem colaboradores?

@Cory Bender you can just remove them from the workspace. Just ensure to deselect the option to remove them from the boards. They'll then just convert into free guests if they are just on one board.

@Luana Martins Cantanhede the term "collaborators" is just an umbrella term for the different user types (guest and workspace members). Guests and workspace members can do the same things on a board (create cards, edit card content, move cards between lists, etc.). I think the only thing you can restrict is card commenting. Additionally, you can turn a user into an observer of the board.

If these people you want to share just need to view and comment on cards, I recommend you use External Share Power-up

External share is part of a suite of power-ups by Tiny Power-ups Club.  You subscribe to them all. So if you use External Share for allowing guests to view and comment, you can also use Tiny Power-ups forms to allow users to create cards... 

This could be a really neat solution...

so every person you invite has to be paid for? Sharing a link or inviting, why can't it just be an option to add a guest rather a member?

I see your point - Looks, upgrading to a paid plan allows to have 100 board members - including guests per board. You can also control guest permissions, allowing them to view and comment on cards but not edit them.

Dear Humashankar VJ, what is the difference between a collaborator, a member and a guest?

If I pay for the premium plan won't I be able to have unlimited members? Just collaborators?
