We are a multicultural team distributed among two countries, Germany and Turkey. We work daily together, as one team, each from home, using atlassian tools to simplify collaboration for the engineers and experts of Research and Development in Mercedes-Benz.

Please provide an example of how using Atlassian products has benefited your team on a project. This can be either an internal project or by assisting a customer.

We are promoting Atlassian Cloud products such as Jira(SW, WM, SM), Confluence and Jira align. Our team is devided into 3 groups:

  • Core Group who takes care of the product management and customer relationship, introducting new features such as Atlassian Intelligence, Jira Work Management and Jira Service Managment including Assets

  • TechServices whose goal is to automate everything incl. Migration from DC

  • Jira Align for promotion and operation of jira align.

So far we managed to onboard over 30k users in our cloud organisation. Part of our success story has been also discussed in Unleash Amsterdam last month

As a team, internally, we are using atlassian tools in hourly bases. Jira Software for collaborating within the team. Confluence for documentation and for our User Knowledgebase to help our colleagues easily use the Atlassian tools we are providing, Jira Service Managment as our Help Center and Assets which gives as an overview of our entire organisation.

Our team is responsible for managing a large-scale i-gaming platform that serve millions of customers worldwide.
The platform is critical to our business, and any downtime could have a significant impact on our revenue and reputation.
We implemented a joint solution using Atlassian JSM and Opsgenie. JSM became our centralized platform for managing incidents, and Opsgenie became our alert management system.
Opsgenie's real-time incident stream alerted our team to critical incidents as soon as they occurred. This allowed us to start triaging and resolving incidents immediately.
We used JSM's real-time visibility into the status of all tickets and incidents to identify and respond to problems quickly.
We used JSM's communication features to keep stakeholders informed about the status of their tickets and incidents.

We're recognizing teams of all types for their innovative use of Atlassian products. How does your team utilize Atlassian tools, such as Jira, Trello, and Confluence, to achieve success that would be impossible alone?

Jira is our project management tool of choice. We use it to track our projects from start to finish, including planning, development, testing, and deployment.
Together with Jira service management we can track and support after deployment a project end to end.
Confluence is our knowledge management tool. We use it to store and share our team's documentation, including project plans, requirements, and how-to guides. Confluence's wiki-style interface makes it easy to create and update documentation, and its search function makes it easy to find what we need.

PreAct Technologies

Tell us about your team’s culture.

The PreAct team is driven by innovation in design and precision. Most importantly, we adapt design and features based on clients' business challenges.

Please provide an example of how using Atlassian products has benefited your team on a project. This can be either an internal project or by assisting a customer.

Our team is made up of primarily engineers. All projects are documented in Confluence from ideation to production. PreAct Technologies designs LiDAR sensors for many industries and their respective use cases. This means that there are teams such as hardware and software engineering, manufacturing, distribution, etc. Each team contributes to the process along the way. Everyone in our company has access to the status which is key with enhancements and error corrections being made along the way. Given we are have two locations in the US, remote workers, and a Barcelona office, it is a fantastic way to keep updated and participate in the making of a leading edge product.

We're recognizing teams of all types for their innovative use of Atlassian products. How does your team utilize Atlassian tools, such as Jira, Trello, and Confluence, to achieve success that would be impossible alone?

As a non-engineer representing both Distribution Channel Sales and Marketing, I wanted to learn how Confluence could be incorporated as well. So I created pages in Confluence for all of the distribution partnership contracts and general status in detail. Meeting the engineers on a platform where they are comfortable was key. So now, even this is documented in Confluence. These Confluence pages have been key in assigning the contract elements to the responsible party within our company. All updates for that partner are kept on their Confluence page. I would never have thought of using Confluence for this in the past. It is a great solution for our needs and I really like that it is a platform that all of the engineers use. Again, meeting the team where they work best.

Prudential Financial

Organized Chaos' work has been fundamental in enhancing how we at Prudential conduct our New Ways of Working in a post-pandemic world, where efficiency and alignment have never been more crucial. A key pillar of Organized Chaos' mission is the continual care and support that the team strives to provide its end-users and customers across the enterprise from the team-level to the Executive level to ensure that all partners are supported through this Enterprise Transformation. The team prides itself on being able to work with our internal stakeholders in understanding what their particular needs are and serve as the tooling experts to provide a robust solution within the tool which caters to the needs of the individual in order to advance the Agile Transformation at Prudential.

We're recognizing teams of all types for their innovative use of Atlassian products. How does your team utilize Atlassian tools, such as Jira, Trello, and Confluence, to achieve success that would be impossible alone?

Through Organized Chaos' continued efforts, Prudential has been able to reduce manual efforts that were commonplace in the past and unify the entire backlog into one view within the tool. The team’s attention to detail and providing clear direction in a complex and historically conservative environment, while fully understanding the ins and outs of the tool while also partnering closely with Atlassian to help shape the future direction and product roadmap for Jira Align has helped the usage of the tool triple over the last calendar year, moving from less than 500 users to 1500.Jira Align provides the team with prioritization of value streams and work across the Solution level. Senior leaders have cited that the team's support has helped with managing dependencies, risks and delivery across their Portfolios. Goals are now aligned at a strategic level which benefited Prudential greatly.

Riot Games

Tell us about your team’s culture.

In a BYO-world, we dream big about how Rioters collaborate with each other across software and platforms, but we balance those dreams with the realities of operating at scale, focusing our efforts on game changing outcomes for the benefit of all Rioters in our technology ecosystem. But as a small team of engineers, we don’t leave the smaller dreams on the table; instead, we find ways to enable self-service and create partnerships to grow together. Through our migration to Jira Cloud, we unlocked team advocacy with our community of practice around Jira and core apps, we rallied around iterative testing, and we achieved greatness through our partnerships with our internal and external SMEs. We prioritize building trust with each other through openness and honesty, feedback, and transparency.

Please provide an example of how using Atlassian products has benefited your team on a project. This can be either an internal project or by assisting a customer.

We leveraged Jira Service Management to capture bug reports from our UAT rounds for Jira Cloud Migration: Using the built-in features like request form preset values for components and affects versions, automations for daily roll-up reporting in Slack and escalation of bug reports from specific Rioters or specific categories, and dashboard reports, we were able to easily keep on top of all of the feedback and issues reported throughout our testing cycles. Rioters were able to easily let us know what worked and what didn't. We set up a dashboard visible to Rioters to summarize reported bugs (along with resolved bugs) to minimize repeated reports and provide context which saved us time and effort. Ultimately, we painted a clear picture after each round of UAT which led to a smooth production cutover.‌

We're recognizing teams of all types for their innovative use of Atlassian products. How does your team utilize Atlassian tools, such as Jira, Trello, and Confluence, to achieve success that would be impossible alone?

When we first proposed a migration to Jira Cloud, we were told “no way” - facing 12 years’ legacy configurations and growth across Jira Software as Riot Games transformed from a small startup game company focused on one stellar gaming experience to earning our ‘S’ in Games across multiple genres, it’s not hard to see why. When we began our work management journey, teams needed a way to work closely together, keep their ongoing work in one place, and reference what’s come before. Over time, that has grown into a jungle. To respond to each team’s need for a fair amount of autonomy while also upholding our organization-wide commitment as application owners to provide a best in class experience, we knew that migrating to Jira Cloud was the path.

While we, Jira Experts, knew the myriad of benefits of migrating from our ever-growing, ever-needing-upgrades-or-patches legacy infrastructure, communicating those benefits was a tall order indeed. Our shop never stops - any amount of downtime would be extremely painful. When we first began our discovery process, we were staring down the barrel of 7+ days of full downtime of Jira, meaning 7+ days of no work tracking across the entire organization - not a good look. To add insult to injury, the process of migrating to the Cloud includes a large amount of rework for everyone, not just the Jira Admins. Teams who leverage their own external tools that communicate with Jira would need to set aside time to update them for the change to Jira Cloud, so teams were already thinking in terms of weeks of downtime whenever the migration was mentioned. The fear was palpable.

So - we did what we do best. We built a path of partnership and trust. We met with key players in our arena, we came up with a game plan and a rough idea of time, and partnered with them (instead of mandating to them) to work together. We leveraged our community of practice for Jira, a newly founded super user group for early access testing, and Atlassian's suite of collaboration tools (along with integrations to our other favorites like Miro and Airtable) to quickly make decisions, keep everyone focused, and migrate Jira.

Our first order of business - get the downtime way down. Our biggest challenge here is a clash between the legitimate needs of the teams to reference decades of information with the speed of the JMCA migration tool, so we worked with the teams to find a compromise where we could split the 80 largest Jira projects (500k - 1 mil issues each) into archival projects with older, reference only data and active, recent working data. The archival projects represented 80% of our volume of issue data on Jira, which, when migrated ahead of the main show (as we did not need to shut down Jira to preserve data integrity on read only issues), reduced our actual down time from 7+ days to 19 hours.

There were some Ls we had to take along the way - like Automation Rules that wouldn’t migrate due to app differences which would render the export JSON files utterly unusable for migration. But we found creative ways to try and work with teams - like setting up a Jira Cloud sandbox site ahead of migration where they could recreate automation rules that would then be imported into the production site (with only minor updates needed).

In the end, after 3 months of discovery and 9 months of testing and iteration, we heralded a successful migration of 1.5 million issues across 515 projects for just under 6,000 Rioters to Jira Cloud. Today, we have 3 teams exploring the Jira Work Management project benefits with forms and calendars. We have a new initiative launching on Jira Service Management to take full advantage of the new Change management features like the Change calendar to level up our ability to be transparent about technology changes. Most importantly, we’re unleashing the future of teamwork at Riot Games on Jira as we leverage even more connectivity between the suite of collaboration platforms so that teams can work together, wherever they are.

St. Louis Kaplan Feldman Holocaust Museum

We are committed to delivering precise and comprehensive information to our donors, funders, and partners. This dedication ensures the accuracy of our reports, not only in tracking visitor numbers but also in measuring our impact. Our capacity to provide data-driven results is pivotal in demonstrating the efficacy of our educational programs, engaging constituents, and amplifying the Museum's message.
Our efforts resonate within our institution, the St. Louis community, and echo throughout the world's Holocaust memory and memorialization efforts.

Atlassian products have revolutionized our workflow. Take museum tours. In the past, we would collect tour requests in a spreadsheet, transfer those to a document when it came time to plan our monthly tours, and then transfer that document to our office whiteboard for quick reference.
Now, requests land directly in Jira, move through a simple workflow, and are displayed on a TV and in our phones. It has saved us countless hours, post-it notes, and brain space. And that's just for museum visits. Our public events were managed as documents that passed through a series of folders in Sharepoint that represented steps in the process. We have seen increases in productivity and collaboration wherever we use Atlassian products. Our meetings are also much faster and more targeted, and we have even been able to cancel a few of them.

Our team uses Confluence to store onboarding and shared team information; Jira Software to manage and collaborate on school and non-school visits/tours to the museum, public programming events, venue rentals, grant applications, grant requirements fulfillment, exhibition design and implementation; Assets as our database of record for organizations and people we work with, museum volunteers, staff members, and grants.

Teach for All

Tell us about your team’s culture.

Folks in the organisation contact the technology and innovation team for all technology related issues. The technology team often identifies common opportunities across teams due to its unique position in the organisation. The team works with multiple teams and often identifies synergies based on common needs and goals of teams, bringing them together in a cross team project. As a team we work to keep in mind on the overall mission of the organisation as we work with the various teams. This means we are able to help connect folks who might otherwise have not worked together on a common task, making the outcome more relevant and hopefully, more cost effective.

Please provide an example of how using Atlassian products has benefited your team on a project. This can be either an internal project or by assisting a customer.

We use Trello as our single source of truth for tracking all technology projects and use it for our weekly team stand ups. This allows team members to have a comprehensive overview of the entire technology landscape. This visibility helps identify overlaps, dependencies, and opportunities between different teams' initiatives.
During standup meetings, team members discuss their progress, challenges, and achievements as they relate to specific projects, providing their updates in Trello cards ahead of the call. The detailed tracking of the projects is done in the individual project lead’s preferred project management tool. The stand up call helps facilitate knowledge sharing and cross-team collaboration, enabling the identification of common opportunities.

Different team members and teams that we work with have their preferred project tracking or management tools. We found Trello to be the simplest tool for use within our team for sharing our work with each other. The simple interface, covers, and more recently, the availability of smart links makes the tool our information radiator of choice for our team standups. Being able to easily tell which projects are in progress, which ones are stalled, and which projects have been completed in a single page is fantastic. Also, being able to identify potential duplication of effort at a glance is helpful in managing our resources.

Tell us about your team’s culture.

Atlassian tools have helped us increase company-wide productivity by over 10%. The innovative use of Confluence allows us to deliver a contextual view of information around entities that are most relevant to our business. Each entity (say, a customer) has an associated Confluence space which is structured similarly and the creation of this structure is automated. We have built integrations between Confluence and other enterprise software such as Salesforce, Workday, MS Teams, Box, and more. Confluence is used to pull/push information associated with each entity from these applications and present it in an easily consumable format via the space. Single-point access to relevant information helps our teams communicate asynchronously, respond faster to customers, and grow our business in impactful ways. Additionally, Jira helps automate workflows and manage projects across distributed teams.

Please provide an example of how using Atlassian products has benefited your team on a project. This can be either an internal project or by assisting a customer.

Earlier, information associated with a particular entity was siloed across different applications. People had to log into each application to access the required information. This was a big hindrance to productivity. Confluence helped us glue together many different types of external and internal enterprise software services to maximize the impact and usage of each. Leveraging Confluence’s open framework, we are now able to extract information from any application we need and present it on Confluence pages. Besides, we have successfully increased employee engagement with features like kudos, announcements, and email integration. Today, every person in our company is an advanced Confluence user and content creator. Information sharing has become a company-wide culture and plays a significant role in the success of our business.‌

The combined power of Jira and Confluence has helped us automate several workflows, minimizing email traffic and promoting a culture of transparency. Confluence is used as a front-end to submit requests, create tickets automatically, and view statuses, while the actual workflow is managed within Jira. Another innovative use case is the way we leverage Confluence to map our information architecture into other applications. For example, we can trigger the automatic creation of Box folders & MS Teams channels from within Confluence, replicating the same structure as in Confluence. Besides this, we use Confluence for several use cases across teams, and the list is growing. A few examples include employee onboarding, functional cross-trainings, polls and surveys, shift management, meeting notes, status updates, and social interactions, along with building an up-to-date information repository.

Our team fosters an open-minded culture, embracing diverse Agile concepts and frameworks. Collaboratively, we explore and integrate various agile methodologies, encouraging innovation and adaptability in our approach. In 2023, our commitment and agility led to over 40 successful releases, marking a substantial leap from the single release achieved in 2022. This growth showcases our team's dedication to continuous improvement, agility, and our collective ability to evolve and optimize our processes.

Atlassian products have significantly empowered our team in managing enhancements efficiently. For instance, utilizing Jira as our primary tool, we established a collaborative internal board known as PCOM dedicated to gathering stakeholder suggestions for enhancements. This board serves as a centralized space where stakeholders can submit their ideas, which are then analyzed, discussed, and eventually moved into our product backlog.

Jira's flexibility allows us to seamlessly track, prioritize, and manage these suggestions, facilitating a transparent and streamlined process. With clear visibility into each enhancement suggestion, we've improved communication among team members and stakeholders, ensuring that valuable ideas are duly considered and integrated into our development cycle.

Atlassian tools like Jira and Confluence are our backbone. Jira meticulously tracks releases, accelerates release note creation, we have confluence leave schedules, and jira serves as an information hub for stakeholders. Confluence is our go-to for crafting detailed documentation and stakeholder resources.

While agile prioritizes adaptability and collaboration, Atlassian tools amplify these principles. They act as accelerants, significantly enhancing our efficiency in tasks that, while feasible without them, would be far more laborious and time-intensive. They streamline our adaptability, facilitate seamless collaboration, and elevate our productivity, making our workflows notably smoother and more effective.
